As the brokerage scaled across multiple regions and departments, leadership faced a "data silo" problem. Critical information regarding agent retention, lead conversion, and staff workload was scattered across various objects and third-party tools. Without a centralized reporting layer, it was difficult to identify "at-risk" agents before they offboarded, track the ROI of recruitment efforts, or monitor the efficiency of the relocation and project management teams. The business required a unified "Command Center" to transition from reactive management to proactive, data-driven decision-making.
I architected a sophisticated reporting ecosystem that aggregates data from every corner of the Salesforce platform into specialized, persona-based dashboards. By leveraging custom report types, trend-tracking snapshots, and Platform Events for real-time web activity, I built a system that surfaces the most critical KPIs for each department. This solution enables the leadership team to monitor the entire lifecycle of a lead—from the initial web click to the final commission split—while simultaneously tracking staff capacity and project bottlenecks in a single interface.
The dashboard suite is powered by a mix of standard reporting and advanced data-capture techniques. To track web performance, I implemented Platform Events that push live data from the company website directly into Salesforce, allowing for real-time visualization of visitor behavior and lead-source effectiveness. For agent performance, the dashboards utilize the data generated by the Performance Management Apex Engine to rank agents by production, lead conversion (LTM), and follow-up consistency. A "Predictive Retention" component identifies "at-risk" agents by flagging those whose production or activity levels have dipped below a specific threshold. For internal operations, I built custom "Case and Activity" trackers that monitor staff response times and team-level productivity. Finally, the Project Management dashboard uses historical snapshots to show trends in relocation and market expansion, highlighting tasks that are overdue or unassigned. This layered approach ensures that whether a user is a Team Lead or the CEO, they have a tailored view of the metrics that drive their specific goals.
