Engineered an automated bi-directional integration between Salesforce and an AI document review platform to streamline transaction processing, accelerate deal turnaround, and eliminate manual data entry.

As transaction volumes scaled, the manual audit and data-entry process became a severe operational bottleneck. Transaction coordinators were required to open, inspect, and verify every uploaded legal document by hand, then manually transpose key terms and critical transaction dates back onto the Salesforce Opportunity record. This repetitive workflow was slow, prone to human transcription errors, and capped the number of deals each coordinator could handle without adding headcount. To scale operations efficiently, reduce operational costs, and accelerate deal turnaround, the business needed an automated solution that could integrate with an AI-powered document review platform to inspect files instantly, parse and sync critical field data, and preserve end-to-end record visibility for agents directly within Salesforce.
I architected and implemented an end-to-end integration between Salesforce and an AI document review platform, transforming deal administration from a manual task into an automated, event-driven pipeline. When an Opportunity reaches qualifying milestone stages, Salesforce automatically initiates the creation of a transaction within the review platform and dispatches uploaded documents for processing. The AI model reads, verifies, and audits each document, while the integration automatically extracts extracted deal points and populates the corresponding Opportunity fields in real time—eliminating manual data entry entirely. Processed documents, approval statuses, and discrepancy flags are then synced directly back to the Salesforce record, keeping deal data auditable in one central hub and giving agents and all staff instant visibility into document review progress.
The pipeline leverages an event-driven architecture using Salesforce Platform Events, secure REST APIs, and webhook listeners to process large volumes of transaction data without hitting governor limits or locking records:
Stage-Based Event Publishing & Ingestion: When an Opportunity advances to a qualifying stage, an Apex trigger handler publishes a custom Platform Event carrying the transaction and document identifiers. By shifting execution from synchronous Apex transactions to an event bus, the system decouples heavy file operations, handles spikes in document uploads smoothly, and prevents transaction timeouts or record-locking errors.
Platform Event Handler & Queueable Execution: A Platform Event trigger catches the event and invokes a dedicated trigger handler framework. The handler enqueues a Queueable Apex job, moving the heavy callout logic outside the event execution context. This Queueable job manages payload assembly, handles any necessary chaining or data chunking, and executes the authenticated REST API callout to dispatch transaction data and documents to the AI review platform.
AI Processing & Automated Field Ingestion: The external AI platform ingests the files, verifies document compliance, and uses machine learning and OCR to extract critical transaction datapoints (such as contract deadlines, purchase prices, deposit amounts, and contingencies). Upon completion, the platform calls back to an inbound Salesforce REST endpoint, which automatically parses the response and populates the extracted data directly into the corresponding Opportunity fields—eliminating manual data entry for transaction coordinators.
Status Reflection & Record Archiving: The integration updates custom status and tracking fields on the Opportunity and custom Document Review records. It also uploads and attaches the documents to the corresponding records. To keep files organized and eliminate duplicate clutter, the system leverages Salesforce ContentVersion versioning: revisions to existing documents, such as an updated addendum, are ingested as a new version (VersionData / Version 2) under the original file record rather than creating a separate document. Transaction coordinators are alerted only to flagged statuses, while agents gain immediate, transparent visibility into their file audit status directly within Salesforce. To streamline resolution of flagged items, a custom deep-link action on the Opportunity record directs coordinators straight to the specific deal inside the AI review tool with a single click, eliminating manual searching and context switching.
